Case Study: From Delayed Reports to Daily Operational Visibility

The Problem

Before working with me, a four-unit (Fuel Points, Auto Bay, Mini Mart, and a Commercial Plaza) filling station was using paper logs, WhatsApp messages, and basic trust. This delayed operational visibility by weeks allowing daily cash shortfalls, missing stock and unpaid auto jobs to slide by undetected until the revenue leakage was completely unrecoverable.

The Situation

Daily cash and stock movements were tracked mainly through WhatsApp messages and end-of-month Excel summaries. Shortfalls regularly appeared 3–4 weeks later. The owner spent significant time visiting branches to “check things” and still felt unsure about daily performance.

What We Built

A tailored Cash Movement Visibility System + basic inventory variance tracking, piloted first on two branches, then rolled out to all five. Staff logged sales, cash and key stock movements daily (including offline capability). End-of-day reconciliation ran automatically. The owner received a simple phone dashboard and immediate alerts on material variances.

A simple mobile system where staff use easy phone forms. All information goes into one clean dashboard for the CEO/GM to access anytime, anywhere.

    Attendants enter closing readings and cash/POS collected. Any difference is flagged immediately.

    Full job card process (reception to store to technician to cashier). Flags jobs where parts were released but payment was not recorded.

    End-of-day sales entry with optional key-item counts. Large differences are flagged.

  • Commercial Plaza

    Simple rent tracking that automatically shows overdue rents.
